Toastmasters Agenda Builder
How a streamlined web application automated Toastmasters meeting preparation, dynamic speech timing cascading, and printable ballot sheets for club officers across Nepal.
1. Background & The Challenge
A standard Toastmasters meeting is a tightly choreographed, 90-minute educational session consisting of multiple segments: prepared speeches, Table Topics (impromptu speaking), and speech evaluations. Each segment is timed down to the minute by designated role players (Timer, Ah-Counter, Grammarian, General Evaluator).
Historically, Vice Presidents of Education (VPEs) and Toastmasters of the Day (TMODs) struggled with manual spreadsheets. If a speaker withdrew or an agenda item changed even by few minutes, every subsequent item on the agenda had to be manually re-computed. Furthermore, creating accompanying voting ballot slips was a separate, tedious document formatting chore.
2. The Concept Solution
I concept the Toastmasters Agenda Builder as an intuitive, high-performance web application hosted directly on my personal domain (rajanmaharjan.com.np/agenda-builder/).
Key Capabilities Implemented:
- Dynamic Time Cascading: Changing any slot duration automatically recalculates downstream start and end times in real-time on the client side without server roundtrips.
- Easy Section Add/Remove:Easy to add/remove the various segments like Prepared Speeches, Table Topic, Evaluators
- Interactive Role Allocation: Quick entry for Club Officers, TMOD, Table Topics Master, General Evaluator, and individual speech evaluators.
- Automated Ballot Sheet Generator: Automatically structures voting slips for Better Role Taker (Timer, Ah-Counter, Grammarian), Better Evaluator, Better Featured Speaker, and Better Table Topic Speaker.
- Print-Optimized & PDF Engine: Renders a clean 2-page landscape or portrait agenda sheet ready for printing or digital distribution via WhatsApp and email.
3. Impact & Community Value
The tool has saved club executives hours of administrative friction every week. By centralizing meeting agenda generation into an accessible web form, clubs in Toastmasters community now produce consistent, professional agendas that start and conclude on time.
